Privacy Statement of the ESEAP Youth Group Directory

This Privacy Statement exists in compliance with the Wikimedia Cloud Services Terms of Use. The ESEAP Youth Group Directory (the Directory) is a volunteer-run service that keeps track of ESEAP Youth Group members, coarse personal information, and contact information. We take your privacy seriously, and this page explains how we collect, use, share, and protect your information when you use the Directory.

What information is collected?

When visiting the site directly, necessary information is collected by the Directory from the user to serve the request. This includes your user agent (what browser you're using).

If you choose to register as a member of the ESEAP Youth Group, we will collect the following information:

Your Wikimedia username
Your year of birth
Your country of citizenship or residence in the ESEAP region (if applicable)
Your contact information on social media platforms (only if provided)

By using a Cloud Services project, data may also be collected by the Wikimedia Foundation, volunteer administrators, or other Wikimedia Cloud Services developers in order to serve your request. This includes your IP address which, although is not collected by the Directory itself, may be used to serve your request via an anonymizing proxy.

How is your information used?

The information we collect is used to provide and maintain the Directory, as well as to communicate with you about your membership. In particular, your information is used to verify your eligibility for membership, as only eligible ESEAP Youth Group members may vote in ESEAP Youth Group matters.

Logs which may contain information about your access to the Directory are used for the maintenance of the Directory. This information is only available to the Directory's maintainers, Wikimedia Foundation staff, volunteer administrators, and other Wikimedia Cloud Services developers. Currently, access logs are deleted after 90 days, unless otherwise retained for maintenance, debugging, or legal purposes.

Your information is not directly shared with any third parties outside of the ESEAP Hub. However, collected information may be accessible to the Wikimedia Foundation, volunteer administrators, or other Wikimedia Cloud Services developers.

How is your information protected?

Your personal information is encrypted in the Directory's database. Access to the databse itself is restricted to the Directory's maintainers, Wikimedia Foundation staff, volunteer administrators, and other Wikimedia Cloud Services developers.

Other information

Why do you need my birth year?

The ESEAP Youth Group requires voting members to be between the ages of 16 and 30 (inclusive). On the first of every year, we check if you're still within this age range with your birth year. We do not keep track of your exact birth date for privacy reasons.

This age limit ensures that the ESEAP Youth Group truly remains representative of the ESEAP youth, and remains a safe space for youth members to interact and engage. Members who have aged out of the group are still welcome to participate, but cannot vote in ESEAP Youth Group matters.

Why do you need my country of citizenship or residence?

The ESEAP Youth Group requires voting members to be a citizen or resident of any ESEAP country or territory, or be an active contributor to ESEAP-related projects. While we don't require verification for this information, we ask for it to ensure that our voting members are truly representative of the ESEAP youth, and to help us understand the demographics of our members. Participants to ESEAP-related projects who are not citizens or residents of ESEAP countries may choose "Other" for this question.

Changes to this privacy policy

This privacy policy may change in the future. If we make any changes which impact user data, we'll let registered members on the directory know by the registered email of your Wikimedia user account. We'll also post a notice on the Directory notifying users of changes. These notifications will come one month before any change takes effect.

Jurisdiction

Wikimedia Cloud Services is hosted and operated in the United States. By using the Directory, whether from inside or outside of the United States,

collection, transfer, storage, disclosure, and other processing of your information (personal or otherwise) will take place in the United States;
your information also may be transferred to other countries; and
that the United States and such other countries may have different or less stringent data protection laws than your country.

Wikimedia Cloud Services is hosted and operated in the United States. By using the ESEAP Youth Group directory, you acknowledge and understand that collection, use, storage, and other processing of your information (personal or otherwise) as outlined in this Privacy Statement. Furthermore, you acknowledge that your Personal Information will be governed by this Privacy Statement, rather than the Wikimedia Foundation's Privacy Policy.
